Taking a team or a room full of clients out to the Yarra Valley turns a function into an outing. Most corporate bookings here are a long lunch, a conference day with dinner, or an end-of-year celebration at a winery estate, rather than a quick after-work drinks.
The distance shapes everything. Guests are coming roughly an hour from Melbourne, so the program has to allow for travel at both ends, and the transport plan matters as much as the room.
What to budget and confirm with an estate:
Book a coach rather than leaving everyone to drive. A return charter from the city keeps the group together, avoids a convoy on the Maroondah Highway and means nobody has to stay sober to get home.
Shortlist two or three estates and send each an enquiry with your date, numbers and format. Every quote comes straight from the venue, with no booking fee or commission added.

Give yourself several months for a Friday or a date in autumn or spring, when estates are busiest. Midweek dates in winter are much easier to secure at shorter notice.
The per-person packages listed here mostly sit between about $70 and $130 a head, with around $100 typical. Many are set up as long-lunch or wedding packages, so ask what changes for a business group and whether drinks are included.
Most can, but confirm it in writing before paying anything. Ask for a tax invoice made out to the business and check the deposit and final payment dates suit your approval process.
A chartered coach from Melbourne is the simplest option and keeps the group on the same timetable. Public transport doesn't reach most estates, and ride-share cars can be hard to find for the trip back in the evening.
Some estates have a screen, projector and microphone in their function room, while others are set up mainly for dining. Ask exactly what is there, and test the wifi if anyone is presenting from a laptop.
Sometimes, but many estates reserve Saturdays for weddings and host only one event at a time. A weekday booking is usually easier and gives you more choice of rooms.
For a dinner or anything that runs past late afternoon, it is worth it. Ask the venue whether it has accommodation or works with nearby places, and lock in rooms when you confirm the date.
Valley weather can swing from summer heat to cold, foggy mornings. Ask where the group moves if an outdoor terrace isn't usable, and whether a total fire ban changes any part of the plan.
