A Hunter Valley birthday tends to run longer than one evening. Guests drive in, stay a night or two in Pokolbin, and the party becomes a weekend with a dinner at its centre and an outing either side of it. That shape suits a milestone, when friends are travelling anyway, as much as a family gathering where grandparents want a long lunch rather than a late finish.
Start with who is coming. A family table of 20 sits comfortably in the Private Dining Room at Twine Restaurant or one of the two private rooms at Amanda's on the Edge, where the set menu comes with a bottle of wine for every two guests. A big friends' party needs floor space: the heritage-listed courtyard at Ben Ean holds up to 450 standing, and Chateau Elan's Founders Room takes up to 330 for cocktails.
Outside Pokolbin, the Lower Hunter pubs keep costs down. Commercial Hotel Morpeth serves two-course menus from $40 per person for groups over 20, and The Family Hotel in Maitland runs a canapé package from $42 per person for parties of 25 or more. Hunter River Hotel in East Maitland serves a two-course alternate drop dinner at $60 a head, and Club Singleton's canapés start from $20 per person.
Ways to fill the rest of the weekend:
For room ideas by age, see the 40th birthday party page, or compare every room on the birthday party venues list.

Amanda's on the Edge seats up to 75 and has two private dining rooms, and Twine Restaurant's Private Dining Room seats 20. Commercial Hotel Morpeth is a relaxed pub option, with river views from its upstairs verandah.
Yes. Greystone Estate is hired exclusively with 15 king suites sleeping 32, and Mount View Estate can arrange a full-estate takeover with on-site accommodation. The Royal Muswellbrook also has 18 rooms upstairs. If the group rents a house instead, Billy Goat Catering cooks on location with chef and waitstaff included, Fennel & Co. Catering serves canapes and grazing tables, and Edwards & Day or Cottage & Co can deliver the birthday flowers.
The Maitland and Morpeth pubs are the most affordable. Commercial Hotel Morpeth's two-course menus start from $40 per person and The Family Hotel's canapé package starts from $42 per person. In Singleton, Club Singleton charges room hire from $75 to $250, with canapés from $20 per person.
Book a sunrise balloon flight with Beyond Ballooning, a trail ride with Hunter Valley Horses, or a Segway tour and axe throwing at Hunter Adventure Centre, all in Pokolbin. Later in the day, Pepper Tree Wines, Tulloch Wines, De Iuliis Wines and Wine House Hunter Valley all run hosted group tastings, and Majors Lane Cooking School in Lovedale holds private classes that end with lunch. Hunter Valley Resort + Farm in Pokolbin runs candy and pizza making as well as cooking classes, and Hollybrook Hunter Valley in Sweetmans Creek hosts adults-only Art N Sip painting from $88 per person, where every canvas goes home with its painter.
The Royal Muswellbrook is a restored 1893 hotel with six function areas, from a 16-seat cellar to a 100-guest courtyard and beer garden, and char-grill packages from $50 per person.
Huntlee Tavern in North Rothbury can arrange a DJ, live music and presentation gear, and The Family Hotel in Maitland has a stage and weekly live music. To bring your own band to a winery room or a rented house, Colour Theory plays pop and rock covers as a five-piece with its own PA and lighting, and The Verweys split their song list into dinner and dance-floor sets.
Umbrella Events & Tours manages milestone birthdays from first idea to pack-down, and Hunter Concierge arranges accommodation, catering, private chefs, wine tours and balloon flights in one place. For the transport, H2 Hunter Hummers hires from $550 per hour, Big Daddy Party Bus from $1,200 for six hours, and Krusin Kombis from $1,400, while Damien's Party Bus and Classic Limousines Newcastle both cover Pokolbin, Cessnock and Maitland.
