What to Check Before You Hire

This page covers gear that arrives on a truck and leaves again afterwards: tables and chairs, a marquee, a sound system, balloons, an inflatable castle for younger guests. On the Peninsula they matter most for parties held away from a function room – a backyard in Mount Martha, a shed in the Red Hill hinterland, a holiday house in Rye or a winery lawn that comes as a bare space.

The local list is small so far, with five hire suppliers. Four of them hire out event furniture, two also put up marquees, one handles AV and speakers, and the newer arrivals add a balloon decorator and a jumping castle hirer.

None of them publish set prices on their listings yet, so every figure comes from a quote. Before you ask for one, work out:

  • Your guest count and whether people will sit down to eat, stand with canapés or do a bit of both – it decides how many tables and chairs you need
  • The ground at the site: flat lawn, sloping garden, gravel or sand changes what a marquee or castle can sit on
  • Whether there's mains power close by for lights, speakers or a blower motor
  • Access for a delivery truck down a narrow drive or a steep coastal street
  • Your bump-in and bump-out window, especially at a rented holiday house with a fixed checkout time
  • Whether each quote includes delivery, set-up and pack-down, or lists them separately

Summer and the school holidays are when the Peninsula's population swells and hire stock gets stretched, so lock in December and January dates early. Bay-side and ocean-side sites can also catch strong afternoon wind, which matters for marquees, balloon arches and anything light.

Send the same details to two or three suppliers so the quotes line up. There's no booking fee or commission on Party Hero, so what they quote is what you pay them.

What Each Kind of Event Needs

  • A backyard birthday usually needs extra seating, a couple of trestle tables and maybe a speaker – often one supplier can cover all of it
  • A children's party is where the jumping castle comes in; ask about soft-fall mats, the minimum area and whether an adult must supervise
  • A marquee wedding on a private property needs the full list – marquee, flooring, lighting, furniture and AV – so start with the suppliers who carry most of it
  • A corporate event or end-of-year function at a winery may only need a microphone, a lectern and some lounge furniture to dress the space

Questions for the Hire Company

  • Do you service the whole Peninsula, or charge extra for a long trip down to Portsea or out to Flinders?
  • Who sets up and packs down, and how long do you need on site at each end?
  • What's your plan if the wind picks up – do marquees and inflatables come down above a set speed?
  • Is there a minimum order, and what's the deposit and cancellation policy if the weather turns?
  • Do you hold public liability insurance the venue or property owner can see?

Pulling the Look Together

  • Balloons are the quickest way to lift a plain room or a shed; ask whether the decorator installs on site and when they collect
  • Match furniture style to the setting – timber and rattan suit a vineyard or beach house more than white plastic folding chairs
  • Lighting is easy to forget for an evening party outdoors; festoon lights or uplights can be added to a marquee or furniture order
  • If the party is at a venue, ask first what it already provides so you don't hire tables it has in storage

Party Supply FAQs

How many party hire suppliers are on the Mornington Peninsula list?

Five at the moment. Four hire event furniture, two of those also do marquees, one does AV and speakers, and there's a balloon decorator and a jumping castle hirer as well.

How much does party hire cost on the Peninsula?

None of the local suppliers list set prices yet, so you'll need a quote. Give them your guest numbers, date, address and the items you need, and ask for a total that includes delivery and set-up.

How far ahead should we book hire for a summer party?

For December, January and long weekends, book as soon as your date is set. The Peninsula is at its busiest then and hire stock is limited, so popular items go first.

Will a hire company deliver to a holiday house?

Usually, yes, but check the drive and street access, where the truck can park and what time you need everything gone. Rental houses often have strict checkout times that can clash with a morning pack-down.

What happens if it's too windy for a marquee or jumping castle?

Most operators have a wind limit and will take inflatables down or delay a marquee build when it's exceeded. Ask what their policy is and whether you get a refund, a credit or a new date.

Can we hire a band or DJ here as well?

Yes – Peninsula DJs and a covers band are listed under Entertainment, and some DJs can also bring a photo booth or MC the night.

Do we need power on site?

For speakers, lighting and inflatable blowers, yes. Tell the supplier what's available and how far it is from where things will be set up, and ask whether they can bring a generator.
