Choosing the Right Venue for Your Event

The Gold Coast is a long, thin strip with a mountain range behind it, so choosing a venue starts with choosing a stretch of coast. Work out where most guests live or are staying, then look at the kinds of room found there. A beachfront surf club at Coolangatta and a golf clubhouse at Carrara can suit the same party, but they make for very different nights.

Pricing comes in three forms here, and they are hard to compare at a glance. Turn each quote into a total for your guest count before you weigh one room against another.

How the coast divides up for a function:

  • Southern Gold Coast: Burleigh Heads, Palm Beach, Currumbin and Coolangatta bring beach-town pubs, breweries and surf clubs, with the most relaxed feel on the coast
  • Surfers & Broadbeach: high-rise hotels with ballrooms sit beside late-night pubs, handy when guests are staying in the area
  • Broadwater: Southport, Main Beach, Labrador and Runaway Bay put marinas, golf clubs and waterfront pubs beside sheltered water
  • Central Gold Coast: Robina, Carrara, Benowa and Merrimac lean towards golf clubs and function centres, a practical middle for guests from both ends
  • Northern Gold Coast: Coomera, Oxenford, Hope Island and Pimpama offer taverns and marina-side rooms close to the northern canal estates
  • Gold Coast Hinterland: Tamborine Mountain, Lower Beechmont and the Numinbah Valley hold private estates, farm halls and rainforest settings

Planning for one occasion? Start with wedding reception venues, birthday party venues or Christmas party venues. If the group would rather do something than stand around, activities cover the other half of a day out.

Reading the three pricing models

  • Per person: menus start around $20 per person for casual tavern food and reach $140 per person for a function-centre package, so check what each figure includes
  • Minimum spend: starting points run from $500 minimum spend to $4,000 minimum spend, and the money generally goes on food and drinks rather than hire
  • Room hire: from $150 room hire for a tavern garden bar through to $8,500 room hire for an exclusive estate, usually before any catering
  • Ask whether Friday, Saturday and December dates carry a higher figure than the starting price

Weather on this coast

  • Humid summer afternoons often bring storms, so ask what an open deck or lawn becomes when one rolls through
  • Winter is mild, dry and clear, which makes it strong for beer gardens, balconies and outdoor estates
  • Beach-strip rooms feel the school-holiday and summer peaks most, so allow extra lead time for those dates
  • The hinterland runs cooler and can be misty, so ask about heating and cover even outside winter

Questions for the function manager

  • Is the space fully private, roped off in a public bar, or shared with other groups on the night
  • What is the latest finish, and does music have to drop earlier on an open deck
  • Can you bring a cake, a DJ or your own styling, and does the venue charge for any of it
  • Who runs the event on the day, and does a surf club's own calendar affect your date
  • How will guests get home, particularly from an estate up in the hills

Venues: Your Questions Answered

Which part of the Gold Coast should we hold a function in?

Follow your guests. Because the city runs a long way down the coast, a central spot such as Robina or Bundall spreads the travel evenly, while a party of locals from one end may as well stay there.

Are surf clubs on the Gold Coast open to private functions?

Many are. Surf life saving clubs are community-run and hire out their function rooms for parties, weddings and work events. Ask about club activities on your date and what is included in the hire.

What is the going rate for hiring a function room on the coast?

It depends on the pricing model. Rooms start from $150 room hire, minimum-spend deals from $500 minimum spend, and menus from $20 per person. Exclusive estates climb well above that, up to $8,500 room hire to begin with.

Is a hinterland estate worth the trip for a party?

It suits a group that wants one private property and a slower pace. Plan transport home before you commit, and check what cover exists if the mist or rain comes in.

Does whale season change anything for a Gold Coast venue booking?

Between about June and November, an ocean-facing balcony or a beachfront room gains an extra drawcard on a clear daytime function. Much of that stretch is also mild, so outdoor spaces get more use.

How do we avoid schoolies when booking near Surfers Paradise?

Schoolies fills Surfers Paradise in late November. If your date falls then, look at Broadbeach, Burleigh Heads or Southport, or ask the venue how it handles that period before you sign.
