Clear allA Gold Coast celebration usually pulls together people who never meet until the day: someone feeding the room, someone marrying the couple, someone keeping a record of it. The coast is long and thin, so the first thing to settle is where the party sits, because that shapes who you ask and what travel adds to a quote.
Beach, canal-side home, surf club or rainforest estate each ask something different of the same supplier. A florist working on the sand thinks about wind, and a caterer heading up the mountain thinks about power and kitchen space.
Where each kind of help tends to start:
Most of these suppliers cover the strip from the northern canal estates to the southern beach towns. The hinterland is a shorter list, so raise a mountain address in your first message.

Start with the ones tied to a single date and place: photographer, film crew and celebrant. Food, flowers and styling can usually follow once the guest count and room are clear.
Some do, though fewer than cover the coastal strip. Give the exact address when you first ask, and check whether a travel charge or earlier arrival applies.
Rarely all three. Some stylists work with an in-house florist and some photographers also film, so ask about combined packages, then compare them with booking separately.
Send everyone the same guest count, address, date and wet-weather plan. Then line up what is included: delivery, setup, staff, pack-down and any hire items.
Mainly it means cover. Through the humid summer months, ask each supplier what they need if afternoon rain arrives, and have an indoor or marquee version agreed.
